Minimum Requirements
- Matric
- 1 year prior experience as a receptionist, front office representative, or similar role preferred
Competencies
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Excel, Outlook).
- Strong organizational and multitasking abilities.
- Customer service-oriented with a positive and professional demeanor.
- Ability to handle sensitive information with confidentiality.
Key Responsibilities
Greeting Visitors:
Welcome visitors with a warm and professional attitude.
- Ensure guests are directed to the appropriate person or department.
Answering Phones:
- Manage a multi-line phone system, answering calls promptly and directing them to the correct person or department.
- Take and relay messages accurately.
Customer Service:
- Address inquiries from clients, employees, and visitors, providing information and assistance as needed.
Reception Housekeeping:
- Ensure the reception area and common areas are tidy and presentable, with all necessary materials.
Security:
- Monitor visitor access and maintain security awareness.
- Follow procedures for visitor check-in
- Ensure the reception is always mended
